The trade show stand shot list: what to photograph, and when

A stand exists for three days and produces content for a year, but only if the right pictures are taken at the right time. This is the list we work from on every stand in Dubai, in the order the show day happens, with the time of day, the number of frames and the reason each picture earns its place.

Before the doors open: the forty-minute window

The crew enters on exhibitor badges about an hour before the doors, usually around 09:00 for a 10:00 opening. The first forty minutes are the most valuable of the day because the stand is clean and empty, and it never looks like this again.

  • The empty stand. Wide from the aisle, three-quarter from each corner, straight-on to the back wall, detail of the branding and the product displays. Twelve to fifteen frames. These are the images your stand builder, your management and next year's planning need.
  • Screens. LED walls and monitors photographed at a shutter speed matched to the panel so they do not band, with your real content running rather than a holding slide. Each screen once clean and once later with a visitor. The LED wall guide explains the technique.
  • Team portraits. Everyone on the stand, individually and as a group, against your own graphics. Two minutes per person, ten minutes for the group. Delivered before lunch for LinkedIn and the follow-up mailing.

The first hour: 10:00 to 11:00

Traffic is light and the organiser's opening tour moves through the main halls. This hour is for the stand with the first few visitors, the reception desk in use, the brand ambassadors in position, and the welcome moments that look staged later in the day when the aisle is crowded. If a ministerial or VIP walkthrough passes your hall it is usually in this hour; the crew stands inside the stand footprint where protocol allows and delivers selects within the hour. The VIP visit guide covers that case.

Peak hours: 11:00 to 13:00 and 16:00 to 18:00

  • Conversations and demos. Real consultations, product demonstrations, tastings and signings, photographed from the edge of the stand with a longer lens so a meeting that is going well is never interrupted. Twenty to thirty keepers per peak block.
  • The crowd. Wide shots from the aisle at the busiest moments, your branding readable above the heads. Visitors who appear recognisably and centrally are asked where required; crowd atmosphere is not a problem.
  • Signings and partnerships. Two angles: the signature and the handshake, then the group with both logos in frame.
  • Hands on product. A visitor's hand on the sample, the tablet, the control panel. These frames sell the product better than the clean packshot.

The quiet early afternoon: 14:00 to 16:00

The hall thins out after lunch, and this is when anything that needs a still stand happens.

  • Product detail. Macro and product shots of the range on the stand with controlled light: e-commerce, press and catalogue in one pass. Three to five frames per product, eight to twelve products in an hour.
  • Interviews. Leadership, distributors and customers, recorded with lavalier microphones in the quietest corner, eight to twelve minutes of recording for a 45- to 60-second cut, subtitled in English and Arabic. Two or three interviews fit in the window.
  • Portraits that were missed. The colleague who arrived at 11:00, the distributor who wants a picture with the team.

Vertical clips through the day

Three to five native 9:16 clips per day, shot vertical rather than cropped: the busiest demo, the product reveal, the crowd from the aisle, the team greeting, a thirty-second walk through the stand. Each is eight to fifteen seconds and is delivered during the day for Instagram, TikTok and LinkedIn while the show is on. They are produced alongside the main coverage, not instead of it.

The hall and the exterior

Atmosphere. Your stand in context, the aisle traffic, the hall entrance with your brand visible, the show signage. Useful for the recap film and for proving scale to the board.

Exterior. Venue signage and the entrance with the team outside, early in the morning or after sunset; midday light in Dubai is too harsh and too hot for anything. At Expo City the plazas and the Al Wasl dome make a stronger exterior than the Sheikh Zayed Road frontage at DWTC. The DWTC venue guide covers timing and positions at the halls.

What a day yields, and how the list is adjusted

A full show day on a mid-sized stand produces a few hundred frames and an edited set of roughly 80 to 150 photographs, sorted into stand, team, visitors, product, VIP and atmosphere, plus the clips and interviews. First selects reach you before the hall closes; the full set arrives the same evening by download link. The list is adjusted to your product in one short call before the show: a machinery exhibitor needs motion and scale, a food exhibitor needs the forty-minute product studio, a technology exhibitor needs every screen. The briefing guide lists what to send, and trade show photography describes the booking.

FAQ

Quick answers

How early should the photographer be on the stand?

As soon as exhibitor badges allow, usually an hour before the doors open. The clean stand and the team portraits happen in that window.

Can visitors be photographed on our stand?

Wide shots and crowd atmosphere are no problem. People who appear recognisably and centrally are asked where required.

What about other exhibitors' stands?

They are not photographed without asking. Your stand, your team and your products are yours to document.

How many photos do we get from one show day?

Typically 80 to 150 edited photographs from a full day on a mid-sized stand, plus vertical clips and interviews if booked.

When are interviews best recorded?

Between 14:00 and 16:00, when the hall is quietest. Eight to twelve minutes of recording gives a 45- to 60-second cut.
