Why there is no single price for a show day
Two exhibitors at the same show can book the same crew and receive quotes that differ widely, and both quotes can be fair. One has a 9-square-metre shell scheme and wants the stand and the team photographed before opening; the other has a 100-square-metre stand with a stage, a demo zone and a hospitality area, and wants a film, interviews and vertical clips delivered before the hall closes, every day for three days. The price is a function of what is being produced and how fast, not of the show's name. The variables below are the ones that move it.
The five variables
1. Hours on site. Most quotes are built on blocks: a short block for the clean set and team portraits before the doors open; a half day to add visitors and demos through the peak hours; a full day to include interviews in the quiet early afternoon, a VIP visit and the material for a recap film. The block decides how much of the show day is covered and it is the biggest lever.
2. Deliverables. A compact set of edited photographs is a different job from a full set covering stand, team, visitors, product and detail. A short highlight clip is different from a recap film in two formats plus vertical cuts plus interviews with subtitles. Ask for deliverables written out with counts and durations; vague phrases such as "highlight video" are where scope disputes start. The deliverables page shows how we write them.
3. Photo, video or both. An experienced crew covering both costs less than two suppliers and gives one consistent look and one download link, but it is still two skills and two sets of equipment, so a combined booking costs more than photo alone. The an experienced crew versus two suppliers comparison sets this out.
4. Crew size. One photographer covers a small stand. A large stand with a stage, a demo area and a lounge needs two people, and a film that must be delivered the same day needs an editor cutting on site from midday.
5. Days. Multi-day shows are priced as a full opening day plus shorter blocks on the following days. The first day is when the stand is freshest and the press and VIP visits happen; the following days need fresh content for the feed but not full coverage.
Smaller drivers people forget
- Same-day delivery. Editing on site during the show is a different workflow from editing in the office afterwards and needs a second pair of hands on busy days. It is the part of the quote that buys the LinkedIn post on the evening of day one. The same-day versus standard delivery comparison explains what changes.
- Two venues. Shows split between Dubai World Trade Centre and Expo City, or a summit at one and a stand at the other, add transfer time or a second crew.
- Interviews and subtitles. Each interview adds recording time with lavalier microphones, a cut and subtitles in English and Arabic. Three interviews is a different afternoon from one.
- Raw files and extended rights. The standard delivery is the edited set and finished films with usage rights for your own channels. Raw files or rights for third-party advertising are agreed separately before the show.
- Build-up day. A stand builder who wants the finished stand photographed at handover adds a short block the day before.
How to compare two quotes line by line
Put both quotes in a table with these rows: hours on site per day; number of edited photographs; film lengths and formats; number of vertical clips; number of interviews and whether subtitles are included; time of first selects and time of final delivery; revision rounds; usage rights; payment terms. A quote that leaves a row blank is not cheaper, it is incomplete. The packages page shows how the common combinations are grouped so the rows are easy to fill.
The two surprises to avoid
Late delivery. A quote that looks lean and delivers in three weeks is worth less than one that delivers before the day is over, because content from a Dubai show is most valuable while the show is still trending. Ask when the first selects and the finished set arrive, in writing.
Usage rights and revisions. Some suppliers license images for a period or a channel, or charge per revision. Ask for usage rights for your own channels and at least one revision round included, and ask what happens to the files after a year.
A worked example: two exhibitors, one show
At Arab Health, a diagnostics company with a shell-scheme stand in Za'abeel Hall 2 books the short morning block on day one: clean stand, six team portraits, product detail, delivered by lunchtime. A hospital-equipment manufacturer with a 120-square-metre stand books a full day one with a two-person crew and an editor, half days on days two and three, three interviews with subtitles, a recap film in both formats and four vertical clips per day. The second quote is substantially higher, and both exhibitors receive exactly what they need: the first for LinkedIn and the website, the second for a distributor campaign across the region. Neither is overpaying; they are buying different things.
How LUMIQ quotes
Send show, hall and stand number, the days you want covered and what you need. You receive a fixed quote within 24 hours with the deliverables written out: hours, number of edited photographs, film lengths and formats, vertical clips, interviews, delivery times. Payment is a deposit on booking and the balance on the show day, by bank transfer; two revision rounds and usage rights for your own channels are included. See trade show photography for what a booking includes and use the quote form to start.
Quick answers
Is it cheaper to book photo and video from an experienced crew?
Yes. An experienced crew, one briefing, one look and one download link cost less than two suppliers, and the photographs and the film match.
Do multi-day shows cost a multiple of one day?
Usually not. A full opening day plus shorter blocks on the following days gives fresh content every day at a lower total than repeating full days.
What should be written into a quote?
Hours on site, number of edited photographs, film lengths and formats, number of vertical clips, interviews and subtitles, delivery times, revision rounds, usage rights, payment terms.
Does same-day delivery cost extra?
It is part of how we work rather than an add-on, but on large stands it needs an editor on site, which is reflected in the crew size.
Can we get a quote without a stand plan?
Yes. Show, hall and stand number and the days you want covered are enough for a fixed quote within 24 hours.
