Getting there and getting in
DWTC sits on Sheikh Zayed Road in the centre of Dubai. The World Trade Centre metro station on the Red Line connects by covered walkway; taxis drop at the main entrance or at the hall entrances along the service road, which is better for a stand in the Za'abeel Halls. Allow extra time on the opening morning: the drop-off queue is long between 08:30 and 09:30 and the car parks nearest the halls fill first.
Badges are collected at the registration desks in the concourse or printed in advance from the organiser's exhibitor portal. Two kinds matter: contractor badges during build-up, exhibitor badges from the opening day. Register the crew the same way you register your own team; the photographer enters on the badges you issued, about an hour before doors. Keep the stand number and the organiser's confirmation on your phone. The DWTC venue guide has the hall map.
The layout: one concourse, many halls
Everything is under one roof. A long concourse runs the length of the complex. On one side are the numbered halls, 1 to 8; across the way the Za'abeel Halls; further along the Sheikh Saeed Halls, the conference halls such as Sheikh Rashid and Sheikh Maktoum, and the Trade Centre Arena. A stand in Za'abeel 4 and a keynote in the Sheikh Rashid Hall are about a ten-minute walk apart; Hall 1 to Sheikh Saeed 3 is nearer fifteen. Hall numbers are printed on the floor plan in the exhibitor manual; cross-check your stand number against it before you send anyone to find you.
Food and coffee are in the concourse and at the cafes between halls, busiest at 13:00. Toilets and prayer rooms are along the concourse. The halls are cold and the outside is hot and humid for most of the season; a light jacket for the hall and nothing heavy for the walk from the car. The Arena is a separate space used for the larger keynotes and award evenings.
Build-up: the day before
Build-up runs one to three days before opening depending on the show and your stand type. Shell-scheme stands are usually ready the afternoon before; space-only stands are built by your contractor over two or three days and handed over on the last build-up afternoon. Expect forklifts in the aisles, carpet protection down until the evening, and your graphics arriving later than promised. Fifteen minutes on the stand during build-up is enough for the crew to check screen positions, lighting and the quietest corner for interviews. The build-up guide covers deliveries, contractor passes and timing.
Show day, hour by hour
- 08:45 to 09:00. Doors open to exhibitors. The stand team cleans, powers up screens, puts out product. The crew arrives.
- 09:00 to 09:45. The clean-stand set: wide from the aisle, both corners, branding detail, every screen at a matched shutter speed. Then team portraits, individual and group, against your own graphics.
- 10:00. Doors open to visitors. The first hour is slow; the organiser's opening tour moves through the main halls.
- 11:00 to 13:00. Peak traffic. Visitors, demos and conversations photographed from the edge of the stand.
- 14:00 to 16:00. The quiet hours. Interviews with lavalier microphones, product detail, anything that needs a still stand.
- 16:00 to 18:00. Second wave of traffic, then the hall empties fast. First selects reach you before the close.
- Evening. The edited set and the recap film arrive by download link.
Hours are typically 10:00 to 18:00, shorter on the last day and different during Ramadan, when some shows run later into the evening instead. The exhibitor manual states the hours for your show.
Small things that catch first-timers
- Storage. Shell-scheme stands have none. Boxes under a table are in every photograph; order a lockable cupboard or use the organiser's storage.
- Screens on standby. Monitors sleep, laptops lock. Set power settings before day one.
- Lanyards and water bottles. They collect on the counter. The crew tidies the frame, but a two-minute reset at 10:55 keeps every picture clean.
- Wi-Fi. Hall Wi-Fi is busy; the crew uploads on its own connection, so your delivery does not depend on the venue network.
- Other stands. They are not photographed without asking. The filming rules explain what applies to visitors, stages and other exhibitors.
Evening events next door
The ballrooms along Sheikh Zayed Road sit next to the halls, and many exhibitors hold a dinner, a product launch or a distributor evening there on day one or two. The crew covers it on the same booking: a short break after the hall closes, then the room clean, arrivals, the speeches from two angles, the group photograph. The ballrooms guide explains lighting and timing in those rooms.
What the crew does while you work
You brief once, by a short call or with the first-time exhibitor checklist, and then you talk to visitors. The crew handles the clean set, the portraits, the visitor coverage, the interviews with subtitles in English and Arabic, the vertical clips through the day and the recap film in 16:9 and 9:16. Editing starts at midday on a laptop at the stand or in the concourse, so first selects reach you before the hall closes and the full set the same evening. One person on your team who can approve a selection on WhatsApp is all that is needed during the day.
